INSIGHTANCE LLC ("we," "us," or "our") provides Compliance Tracking Insights ("the Service"), a cloud-based compliance management solution, for businesses like yours ("Licensee"). This Privacy Policy explains how we collect, store, use, and disclose your personal data when you use our Service. We are a United States of America based LLC located in Missouri.
Data Collection
When you use our Service, we collect various types of information about you and the Licensee's business, including but not limited to:
- Contact Information: Your name, email address, phone number, and other contact details.
- Company Information: Information about your company, such as its name, address, and organizational structure.
- Usage Data: How our Service is used, including access logs, IP addresses, session data, and browser information.
- Service Data: Data entered by users to facilitate the Service, such as documentation details, references to external sites or services, and file uploads.
- Communication Data: Communications between you and us, including emails, phone calls, and chat logs.
How Data Is Used
We use your data to:
- Provide, maintain, and improve our Service.
- Send notifications and updates relating to the Service.
- Troubleshoot issues, prevent security threats, and provide support to the Licensee.
- Communicate with the Licensee about our Service, billing, or other administrative matters.
- Analyze usage patterns and trends to identify areas for improvement.
- Develop new features and services that meet your needs.
- To provide or facilitate special arrangements with a Licensee.
Who Data Is Shared With
Standard Operations - Who we expect will have access to your information on an average day:
- Authorized users: within a given instance as defined by the Licensee's requirements and roles.
- Our personnel: who need access to provide support for the Service.
Special circumstances - Who we might expect your information may also be shared with:
- Our service providers: who help us operate the Platform, such as our hosting provider, or email service provider.
- Government authorities or law enforcement agencies: If required by law.
Except for the above cases, we do not sell or share any information with third parties except as would be outlined by a special arrangement with a Licensee of the Service.
How Is Data Protected
We have organizational and technical processes and procedures in place to protect your information and take reasonable measures to protect your data from unauthorized access, disclosure, alteration, or destruction. These measures include but are not limited to:
- Encryption: We use SSL/HTTPS to encrypt data transmitted.
- Access Control: We limit access to your data within a given instance based on a user's permissions assigned by the Licensee's requirements and roles.
- Backups: We perform regular backups of the information we collect to prevent loss.
- Firewalls: We use firewalls to defend against intrusion.
- Password & 2FA: We apply reasonable requirements to passwords, as well as providing Two-Factor Authentication options to protect access.
- Special Arrangement: Depending on a license we may incorporate additional measures or services that affect how data is protected.
However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.
Data Retention and Removal
Data provided for a given instance will be kept until such a time that a Licensee chooses to discontinue their license.
If a Licensee chooses to discontinue their license for the Service, we will delete and remove the entirety of the instance from the Service.
Before removal, we will offer to provide the Licensee a compressed file backup of the data associated with the instance for their own records. This does not include data outside of the instance such as code, configuration or server logs, and unless requested this also does not include uploaded documentation files.
Cookies
Our Service uses cookies to maintain session state, these cookies are only used for the active session and are only valid for the duration of a session.
Special Arrangements
When finalizing a license between us a Licensee, exceptions or stipulations may require sharing data with additional parties as part of their license, such cases should be outlined to the users by the Licensee, as they cannot be foreseen by us.
An example of such an arrangement might be to use a third party for storing uploaded documents, or for storing database backups.
Third-Party Resources
Our Service may contain links to third-party resources provided by users of the Service. These resources are not affiliated with or operated by us. When you visit these resources, you are subject to their own terms of service and privacy policies.
Children's Privacy
The Service is a business compliance management tool and is not intended for children under 18 years of age (or the age of majority in your jurisdiction). We do not knowingly collect, use, or disclose Personal Data from children under 18.
Changes to This Policy
We reserve the right to modify this policy at any time without notice, the date of modification will be visible at the top of this version, or any future posted version. Any changes will be effective as of that date.
